Policies and Clinic Guidelines
Welcome to Balanced Therapies. My goal is to provide a calm, safe and supportive environment for every client. Please take a moment to review the clinic policies below. These guidelines help ensure smooth scheduling, fair access to appointments, and the highest standard of care.
🌿 Cancellation & Rescheduling Policy
I respectfully require 24 hours’ notice to cancel or reschedule an appointment.
• Appointments changed with less than 24 hours’ notice will be charged the full session fee.
• Missed appointments (“no-shows”) are also charged the full fee.
This policy protects your reserved time and helps ensure fair access for all clients.
🌿 Late Arrivals
To maintain a peaceful flow in the clinic:
• Late arrivals may receive a shortened session.
• Your appointment will end at the scheduled time out of respect for the next client.
• Full fees still apply.
🌿 Booking Window
Appointments open 8 weeks in advance.
This schedule helps me keep availability balanced, allows room for urgent MOT follow-ups, and supports my clinic’s transition to MOT-only care.
🌿 Urgent MOT Care
If you are an existing MOT client experiencing a flare-up or new issue, please feel free to reach out by text or email.
A limited number of “urgent care” openings are reserved each week for acute MOT needs.
🌿 New Clients
New MOT clients are accepted on a limited basis.
A maximum of 1–2 new clients per day are scheduled to ensure proper assessment, care planning, and charting time.
🌿 Direct Billing
Direct billing is available for most major insurance providers.
Please note:
• Coverage varies by plan.
• Clients are responsible for any amounts not covered.
• If direct billing is not available or declined by the insurer, payment is required at the time of service.

• Cash
Receipts are provided for all services.
🌿 Respectful Environment
Balanced Therapies is a calm, welcoming, and professional space.
Any behaviour that is unsafe, inappropriate, or disrespectful may result in the session ending or future services being declined.
🌿 Confidentiality & Privacy
All client information is kept strictly confidential and protected in accordance with Alberta’s health privacy regulations.
🌿 Right to Refuse or Delay Treatment
I reserve the right to refuse or postpone treatment if it is unsafe or outside my scope of practice, or in situations involving:
• inappropriate behaviour
• intoxication
• repeated missed appointments
• medical contraindications
This ensures safety for both client and practitioner.
